Joining the Cooperative

How do I become a member?

Apply on the Join page — it takes a few minutes. You'll be assigned a member number, then pay the joining fees: a once-off registration fee of K150 and the annual subscription of K250. You can pay by mobile money on the Pay page using your member number.

What does membership cost?

Three amounts, set by the by-laws and the Board:

K150 registration — paid once, when you join
K250 annual subscription — paid every year
K1,000 per share — full membership is 20 shares (K20,000), which may be built up over time

Do I get a membership number? What is it for?

Yes — every member has one (like M0036), assigned automatically when you join. It appears on your share certificate and receipts, it's what you quote when paying, and it's how you sign in to the member portal. It never changes.

Shares & your rights

How many shares do I need, and by when?

Full membership is 20 shares of K1,000 each (By-law 4.01(b)), and the by-laws allow twelve months from joining to complete them. You don't have to buy them all at once — every purchase is recorded and your portal shows exactly how far along you are.

When can I vote at General Meetings?

Once you hold at least 2 shares, you exercise the full rights of membership, including voting (By-law 4.01(c)). Your portal dashboard tells you plainly whether you're vote-eligible and, if not, what's still needed.

How do I know my share certificate is genuine?

Every certificate carries a QR code. Scan it (or type the address printed under it) and the Cooperative's system shows the official record — the member, their standing and shares. A forged or altered certificate will not match. Printed delivery notes carry the same protection.

Payments & money

How do I pay?

By mobile money, on the Pay page — enter your member number, choose what you're paying for, and approve the prompt on your phone. A receipt is emailed to you, and every payment appears in your portal immediately.

Can I get a statement of my account?

Yes. Sign in to the member portal and download your official Statement of Account as a PDF — your payments, your shares and your current standing, on the Cooperative's letterhead. Each individual payment also has its own downloadable PDF receipt.

My K250 annual subscription — which year does it count for?

Every subscription payment is recorded against the specific year it covers, and your portal shows the list of years you've paid. Your standing ("annual subscription up to date") is checked against the current year — so paying in December and again in January correctly counts as two different years, never as a double payment.

Produce & getting paid

How am I paid for my avocados?

You deliver; the Cooperative weighs, grades and prices your produce at intake and gives you a delivery note showing what arrived, what was accepted, and anything rejected with the reason. Payment is then calculated on the accepted weight at the graded price, less the Cooperative's commission as set by the Board, and paid out to you. You are told the grading result and, once sent, the payout.

Can I record a delivery myself in the portal?

Yes — you can declare what you delivered in the member portal and track every delivery, past and present. A declaration becomes payable only after the Cooperative has weighed and graded it: you state what you brought; the Cooperative states what it is worth.

What if some of my produce is rejected?

The reason is recorded and shown to you — on your delivery note and in the portal. Accepted plus rejected must always equal what you brought in, so no kilogram can quietly disappear. Nothing is payable on rejected produce, but the reasons help the Cooperative target training so less is rejected next season.

The member portal

How do I sign in?

At the member login page, with your member number (or phone or email) and your password. If you've never used the portal, contact the office to have your account activated.

I've forgotten my password.

Use Forgot password on the login page — enter your member number, phone or email, and if it matches a member account a reset link is emailed to you. The link works once and expires after two hours. No email on file? The office can help you reset it.

How do I complain, and what happens to my complaint?

Lodge it through the portal. It receives its own reference number, goes onto the Cooperative's complaints register — not into anyone's inbox — and you can watch its progress from your portal until it's resolved.

Is my information safe?

You can only ever see your own records, and staff access is restricted by role. Passwords are stored in a form nobody can read back — not even administrators — and every change made in the system is written to a permanent audit trail. The Cooperative treats the register as what it is: a statutory record under the Co-operative Societies Act.
